Privacy Policy
Last updated: 22 October 2026
This policy explains how Accountee — a trade name of Mahesh Sharma, a sole proprietorship — handles personal data when you use accountee.in as a client, an accountant or a visitor. Accountee decides why and how this data is used (the "Data Fiduciary" under the Digital Personal Data Protection Act, 2023).
1. What we collect
- Account: name, email, mobile and password (stored only as a secure hash by our sign-in provider).
- Clients: business name and type, GSTIN if you give one, billing address, saved office addresses and the on-site contact person, and the software and languages you choose to share.
- Accountants: qualification, experience, skills, home PIN code, PAN, a copy of your PAN card and a masked Aadhaar copy, the last 4 digits of your bank account, availability, intro, languages and emergency contact. Please upload a masked Aadhaar (first 8 digits hidden) — we do not need your full Aadhaar number.
- Bookings and visits: dates, times, arrival and code records, work logs, extra-time requests, ratings and private feedback.
- Payments: order and payment references, amounts and refunds. Card and bank details are handled by Razorpay; we never see or store them.
2. Why we use it
- To create your account and run bookings, matching, visits, payments, refunds and payouts — the service you asked for.
- To verify accountants (KYC) and keep visits safe.
- To issue invoices and meet our legal and tax duties, such as deducting tax at source.
- To send service emails and notifications about your bookings or application.
- To handle support requests and prevent fraud or misuse.
We use your data only for these purposes. You give consent when you create an account; you can withdraw it at any time (see section 6), though we then may not be able to provide the service.
4. Where it is stored and how it is protected
Our database and files are hosted in Supabase's Mumbai (India) region. Our email provider may process your email address and the message outside India to deliver it.
Access rules let each person see only their own records. KYC documents are kept in private storage that only Accountee staff can open, through links that expire within minutes. We store only the last 4 digits of bank accounts.
5. How long we keep it
We keep account data while your account is open. Booking, invoice and payout records are kept for as long as tax and accounting laws require. KYC documents are kept while you are an accountant on the platform and afterwards only as long as the law requires. Then we delete or anonymise the data.
6. Your rights
You can ask to see a summary of your personal data, have it corrected or erased, withdraw your consent, and nominate someone to exercise these rights if you cannot. Much of your data can be corrected directly in your profile. Some records (for example invoices) must be kept by law even if you close your account. Email us to use these rights; we reply within the times set by law.
7. Children
Accountee is for people aged 18 and over. We do not knowingly collect children's data.
9. Grievances
For any question or complaint about your personal data, contact our Grievance Officer:
Grievance Officer: Mahesh Sharma, Proprietor
